Private pay & out‑of‑network superbills
We are a private pay practice and out‑of‑network with insurance companies. If your plan includes out‑of‑network mental health benefits, you may be eligible for reimbursement.

How out‑of‑network reimbursement works
- Call your insurance and ask if you have out‑of‑network mental health benefits.
- Request a superbill (we can provide it upon request).
- Submit the superbill to your insurer for possible reimbursement.
Cancellation & attendance policy
We reserve time specifically for you. If you need to cancel or reschedule, we require at least two (2) full business days’ notice (Mon–Fri, during business hours).
Late cancellations / no-shows: If an appointment is missed or not cancelled within this timeframe, the full session fee may be billed to the card on file.
What if an emergency comes up?
Good Faith Estimate (No Surprises Act)
Under federal law, you may be entitled to receive a Good Faith Estimate for psychotherapy services. If you receive a bill that is $400+ higher than the estimate for any service, you may have the right to dispute the bill.

BENEFITS OF PRIVATE PAY
Choosing private pay allows you to prioritize care, privacy, and flexibility—on your terms.
At Pathways Counseling Services, we are a private pay practice and out-of-network with all insurance companies.
This model offers our clients several unique benefits:
More immediate access to care – Most clients are able to schedule sessions as soon as the next day, sometimes the same day.
Freedom to choose your counselor – Pick the therapist who appears to be the best fit for you or your child.
No insurance labels or reporting – Your mental health diagnosis will not be reported to insurance companies or added to your permanent health record.
Greater privacy and flexibility – You may switch therapists if your current therapist is not a good fit without complications or coverage problems. We support ease of the transition by coordinating care if you wish.
Out-of-network benefits may still be utilized – If your insurance plan has an out-of-network coverage benefit, you may be eligible for reimbursement or to utilize payments toward your deductible.
Monthly superbills are given – We provide superbills upon request to allow for reimbursement or deductible determination.
We also utilize the least stigmatizing diagnosis codes when clinically appropriate.

This personal approach allows Pathways Counseling Services counselors to customize treatment plans to the unique needs of each client using a variety of methods and techniques.
We want you to make an informed choice of counselors. Each of our counselors has a biography about their experience, their areas of expertise and what types of treatment methods they utilize.
All of this is to allow you, the client, to know more about who you will be working with.
In order to provide this level of care and expertise, patients of Pathways Counseling Services pay for their visit in full prior to the time of their appointment.

We do not except insurance however, we do provide you with a detailed form, called a Superbill. This will allow you to submit our charges for possible reimbursement should you have any out-of-network mental health benefits through your insurance plan. Because of the number of insurance companies and various plans available, we recommend you contact your insurance provider in regards to what kind of out of network services are reimbursed.
Your first 75-minute session costs between $165 and $490, depending on the therapist you see. Follow-up sessions cost between $100 and $295 for a 45-minute session.
The first session takes 75 minutes and is used to get to know your needs and objectives. Your counselor will ask you questions about all part of your life (biological history, mental history, and social history) and help you develop a plan that will work for you.
We offer 45, 60, or 75-minute sessions. Your therapist will address this with you during your first session to figure out what works best for your treatment.

At Pathways Counseling Services, we value the time booked for your personal growth. If you must cancel or reschedule your appointment, we require at least two (2) full business days’ notice (Monday through Friday, during regular business hours). If you have a weekend session, we ask that you still give us at least two (2) full business days’ notice. (Example: Saturday 3pm session required notice of cancelation by Wednesday 3pm)
If an appointment is missed or not cancelled within this timeframe, the full session fee will be billed to the credit card on file. If no card is on file, payment for the missed session will be due prior to scheduling further appointments.

We get that life happens — sometimes you’re sick or have a last-minute emergency. If that’s the case, we can send you a secure Zoom link for your session. Our counselors will also do their best to reschedule you to either another time same day, or next available appointment to ensure consistently in your treatment.
The Good Faith Estimate provides an anticipated cost based on available information. It does not account any unknown or unexpected costs that may arise during treatment. You could be charged more if complications or special circumstances occur. In instances where actual costs exceed the estimate by $400 or more for any service, you have protection under federal law to dispute the billing.
This process involves contacting the provider or facility to discuss the discrepancy. You may seek an adjustment, negotiate the bill, or exploring financial assistance options. You have the right to initiate a dispute resolution process with the U.S. Department of Health and Human Services (HHS) within 120 days of receiving the original bill.

- Treatment Flexibility: The estimate is not a treatment recommendation. It is also not a forecast of the number of psychotherapy sessions you will need. The appropriate number of sessions and the associated costs depend on your individual needs. It is done in collaboration with your therapist. You have the freedom to question any treatment recommendations. You may alsodiscontinue therapy at any time.
- Therapy Pricing: The current pricing for psychotherapy services are listed in the Counselor Fees section. Additional information is provided, depended upon you and your therapist. While a weekly session is common, this is based on different factors. The frequency of your visits may change. This is based on your personal needs and therapeutic progress.
- Communication and Queries: You are encouraged to engage with your provider about your treatment plan. You can also discuss any aspects of the Good Faith Estimate. This conversation typically takes place during your intake session, It can also continue, as needed, throughout your treatment.
